Bilingual Front Desk/Administrative Assistant

Position Summary
We are seeking a Bilingual Front Desk & Administrative Assistant (Spanish/English) to join our client int he Florence KY area. This role is responsible for providing professional front desk coverage and comprehensive administrative support to ensure smooth, efficient department operations. The ideal candidate will be fluent in Spanish, have excellent communication skills, and maintain strong attention to detail in a fast-paced environment.
Key Responsibilities
- Greet and assist visitors in a professional, friendly manner.
- Answer and direct phone calls; take accurate messages when necessary.
- Manage incoming and outgoing mail and deliveries.
- Assist with scheduling meetings and maintaining calendars for HR and Finance teams.
- Prepare, proofread, and edit documents, reports, and presentations.
- Maintain and organize filing systems (electronic and physical).
- Support onboarding processes, including preparing orientation materials and coordinating training sessions.
- Assist with organizing company events and employee engagement activities.
- Support Finance team by organizing invoices and other financial documents.
Qualifications & Skills
- Bilingual in Spanish and English (Required)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills, with attention to detail
- Ability to adapt to changing priorities and situations
- Strong time management and project completion skills
- Excellent interpersonal and communication skills across all organizational levels
Education & Experience
- 1–3 years of experience in an administrative support role
- High school diploma or equivalent (additional qualifications in office administration or related fields are a plus)
